What Is Pipeline Maintenance?

Pipeline maintenance is the ongoing work of keeping a pipeline accurate: updating records when something moves, closing out what is dead, correcting stages and dates, and making sure what the system says matches what is actually happening. It is not a reporting exercise. A pipeline that is only tidied before a review is not a pipeline, it is a snapshot.

  • Updating records when a deal or an opportunity moves, on the day it moves
  • Closing out dead and dormant items rather than leaving them to age
  • Correcting stages, expected dates and values against what the team actually believes
  • Chasing the owner where a record has not been touched and should have been

What it does not cover

We do not decide what stage something is at. That is a judgement about a live situation and it belongs to whoever owns the relationship. We chase, we prompt, and we record what we are told.

We do not forecast. Keeping the pipeline accurate makes forecasting possible. The forecast itself is management's.

We do not chase your clients. Chasing is internal, to the people who own the records.

Who normally owns it

Formally, everyone with a deal in the system. In practice, nobody. Each person is responsible for their own records and each of them has something more urgent, so the pipeline decays steadily and gets cleaned in a rush before a board meeting or a quarterly review.

The cost is not the tidying. It is that between the clean-ups nobody quite trusts the numbers, so people keep private versions, and the firm ends up with several pipelines that disagree.
