Working Inside Client Systems

We work in the systems our clients already use, under access they grant and can revoke, rather than asking them to adopt anything of ours. Nothing is copied out to be worked on elsewhere, so records stay where the client's own team expects to find them.

What this covers

Every client has its own stack, and most have at least one system that exists nowhere else: a proprietary tool, an internal database, or a platform configured so heavily that generic knowledge of it is not much use.

We train on whatever is there. That includes the proprietary systems, the spreadsheet that quietly holds something important, and the workarounds that exist because the system does not do the thing everyone needs it to do.

The operational work inside them

  • Data entry, updates and maintenance in the client's own records
  • Working to the client's naming, filing and retention conventions rather than ours
  • Producing reports from the client's own reporting tools
    Moving data between the client's systems where a process requires it
  • Flagging the points where a system is making a process harder than it needs to be

What good looks like

Your own team cannot tell from the records who did the work. Files are where they should be, named the way your firm names them, and the reporting you run off them needs no reconciliation first.

There is no separate copy of anything. No parallel spreadsheet, no export sitting in a folder somewhere, no second version of the truth.

Common problems

Access granted too broadly. It is quicker to give a new team wide access than to work out what it actually needs. Scoped access takes longer to set up and is the right answer.

Undocumented workarounds. Every stack has them, and they are invisible until something breaks. These need capturing early, because they are usually the parts that matter most.

Work drifting out of the system. A process that is awkward in the system tends to migrate into a spreadsheet, which is where data quality goes to die. Where that has already happened, we would rather fix the process than maintain the spreadsheet.

Reporting built on assumptions. Reports often encode decisions nobody remembers making. Worth checking what a report actually counts before relying on it.
