Accounts Payable Support: What It Covers
Accounts payable support means processing supplier invoices from receipt through to payment ready: capturing them, coding and allocating them, matching against purchase orders, handling queries and reconciling supplier accounts. Approval and payment release stay with the client, on every run without exception.
What it covers
- Intake and capture. Collecting invoices from every channel they arrive through, including the informal ones, and capturing them into your system to your naming and filing conventions.
- Coding and allocation. Applying your coding rules: cost centre, department, project, entity. Handling multi entity and multi region invoices to the treatment you have set. Applying the tax treatment you have specified, and escalating anything that does not fit.
- Matching and exceptions. Matching invoices against purchase orders where you use them. Identifying price and quantity mismatches, duplicates and missing documentation, and working them to your agreed tolerance rather than guessing.
- Query handling. Chasing missing information, following up unapproved invoices, and dealing with routine supplier queries about the status of an invoice.
- Supplier records. Keeping supplier data current and identifying dormant records, within whatever change controls you have in place.
- Reconciliation and reporting. Reconciling supplier statements to your ledger, preparing accruals for invoices received but not yet processed, and producing the aged payables reporting you need.
- Payment preparation. Preparing the payment run to your schedule, ready for your review, approval and release.
What it does not cover
Approval and release. We prepare, you approve. Nobody at Clandon approves an invoice or releases a payment, whatever the value and however urgent.
Bank detail changes. We do not change supplier bank details on our own authority. This is the highest risk step in accounts payable and it stays inside your controls.
Deciding what gets paid. Where cash is tight and payments need prioritising, that is a commercial decision and it is yours.
Commercial disputes. We will chase and clarify, but a genuine dispute with a supplier belongs with whoever owns that relationship.
Setting the rules. Approval thresholds, tolerances, coding structures and payment terms are yours to set. We apply them consistently, which is a different job.
Who normally owns it
Usually a finance manager or financial controller. They keep the approval thresholds, the supplier relationships, the payment decisions and the controls.
Accounts payable is the commonest entry point into an operations support engagement, for two reasons. It is high volume and rule based, which makes it straightforward to document. And it is almost always being done by someone whose time is worth more than invoice coding.
